Manage how Autoklose handles Out of Office and Autoresponses in your mailbox

By default, Autoklose manages unsubscribed and bounced contacts by excluding them from campaigns and placing them on the Do Not Email (DNE) list. When you're dealing with a lot of contacts in a campaign, even a small number of bounces and unsubscribes can flood your inbox, making it tough to spot important responses that require your attention.


For that reason Autoklose by default moves such replies from Inbox into separate folders. Bounce reports are moved to Autoklose Bounced and opt-out replies to Autoklose Unsubscribed folders. Those kinds of responses do not require any manual action, and because of that, it is perfectly safe for Autoklose to move them outside of the Inbox.


Similar to bounces some other reply types can often create difficulties with Inbox management like Out of Office and Auto replies, especially around major holidays. Inbox can get busy and flooded quickly. Yet again, this might not be a major concern in other periods of the year. Auto responses often contain important information (date of return, next best person of contact, change of number, email address, etc..). For that reason, Autoklose will not move such emails by default.
That being said, we will leave this decision to users.
Each email account now contains an option for Additional Mailbox Folders. If enabled, all recognized OOO and Auto responses will be moved into separate folders and removed from the main Inbox. Of course, all moved emails can be accessed, viewed, and managed from additional folders.

To manage this option, follow these steps:

  • Log into your Autoklose account

  • Click on Your Initials at the top right and click on Settings

  • Click on the Email tab

  • Click the Manage button for the desired connection

  • Find and click the Change button in the Additional Mailbox Folders section.

If there are several connections and connected email accounts, each will have its own options for Additional Mailbox Folders, which can be individually managed.


Important information:

  • Once the option is enabled, folders will be created after the first Out of Office or Auto response is detected.

  • Only emails received after this option is activated will be moved. Emails received before the activation will not be affected.

  • This option requires access to the email account Inbox folder. In case the connection does not include or restrict access to IMAP (SMTP-only connections) or if there are any temporary or permanent connection problems, reply recognition will not work. Thus emails will remain in the Inbox.

  • The reply recognition process usually takes around 5-10 minutes depending on the email provider.

  • Replies moved outside of Inbox manually or by email client rules, can not be registered by Autoklose, and will not be handled in campaigns and folders.
