Email automation is a powerful tool, but sending a high volume of emails from a single account can lead to spam filters flagging your messages, reducing deliverability rates. One of the most effective ways to improve email performance and avoid deliverability issues is inbox rotation. This feature allows users to add multiple email accounts to a single campaign, distributing outgoing messages instead of relying on just one. By spreading out sending activity, inbox rotation helps reduce the risk of spam filters flagging emails, improves sender reputation, and increases overall email deliverability. In this article, we’ll explore how inbox rotation works.
Here is how to use Inbox Rotation:
- Login to your Autoklose account.
- Click the initials at the top right and go to Settings.
- Navigate to the Email tab and make sure to have at least two working email connections.
- Create or edit an existing campaign. For existing campaigns, sending from multiple emails works only if there are recipients which did not received any emails yet.
- In the FROM EMAIL field on Campaign Settings (step 1) choose the first email account from the dropdown and set the maximum number of emails that can be sent from an account in that particular campaign. This value can not be higher than the sending speed value set in Email settings.
- Click ADD NEW to assign additional email accounts to the campaign and set their limits as well. Email account position in this section matters as it determines the order of sending. For example, if there are 2 connections and 3 campaign recipients, connection 1 will send an email to the first, connection 2 to the second, and connection 1 to the third recipient.
- Finish up campaign creation, review settings in step 5, and Start the Campaign. Sending will start per schedule, with a difference of using two or more email accounts, instead of one.
Important notes:
- If Email Ramp-up feature is enabled, and per its plan, the number of emails per day is lower than the Daily Email Limit, Ramp-Up will have a higher priority.
- In case of connection issues, or there is a need to refresh email account connection, it is highly recommended to do a one-click reconnect. This way campaign flow, sending, and scheduling will remain unchanged.
- In case an email account is Disconnected, that account will be removed from the campaign Inbox Rotation, and the sequence will stop for all recipients that received at least 1 email from a disconnected account. Recipient status will change to Campaign Stopped. There is a grace period of 60 minutes during which it is possible to connect the same email account again, re-add it to the campaign/s inbox rotation, and continue sending without issues.
- Once the grace period expires process can not be reversed!
- Campaign recipients who did not receive any email/s from the Disconnected account will be re-assigned to the remaining accounts in rotation.
- Remove Email from Rotation acts similarly to the disconnect. The sequence will stop for recipients that received at least one email from the removed account. The grace period during which is possible to re-add the same account again also applies in this scenario, providing a safeguard in case the email was removed by accident.
- Autoklose sends multiple notifications if a connection issue occurs. We wait 9 days for the issue to be resolved. After this period, all recipients who received an email from the affected account will be assigned a "Campaign Stopped" status and will no longer receive messages from the same campaign. This process is irreversible, which is why multiple notifications are sent (1, 3, and 7 days after the initial connection error) and a 9-day waiting period is in place.
- If a new email account is added to the rotation, it can send only to recipients who have not received any campaign emails yet.
