Recently, we have received a lot of questions in regard to how the Autoklose system sends emails. Even though sometimes it can be confusing to understand the logic, we believe that this is an important question because your campaigns’ success depends on it. Understanding how cold emails get delivered will give you proper control over your campaigns.

The Autoklose system is trying to mimic the actual human sending behavior, meaning, all your emails appear as if they were sent manually. For that, we are using your email servers to send the emails. This means that our system will initiate the action of sending, but your email servers are responsible for email delivery. All the emails sent from Autoklose will appear in your "Sent" folder. Because of that, Autoklose needs to follow the rules set up by your email provider. You should know how many emails your provider allows you to send per day. You should also be aware of what content your email provider considers to be spam so that your outgoing messages do not trigger the safety mechanisms for outgoing emails.

Another important rule to understand is how many emails you can send over a certain period of time. Sending multiple emails in a short time and/or divided by even time intervals between two emails might also alarm SPAM-filters. Those filters are very sensitive to such patterns. Because of that, our system is designed to imitate human behavior and more natural ways to send emails. By default, once the campaigns are scheduled, Autoklose will send your messages divided by random time intervals, between every 30 seconds to 5 minutes. That means that within 1 hour you can send 120 emails max.

As we already mentioned in this article, Autoklose sends your emails as you would do yourself. So let’s talk about the sending rate. Would you be able to send 50 separate emails to 50 different recipients at the same time? Probably not. Would you be able to send 2 completely separate emails from your email client at the very same second? Hardly. I think you understand where I am going with these examples. The point is, Autoklose wouldn’t send that way either.

Instead, these 3 points will be considered when sending is initiated:

• Sending limit (in both account settings and campaign settings),
• the number of recipients in the campaign,
• the time frame you plan for sending

The time frame will be divided into randomized smaller time frames for the actual email sending. Also, the messages will never be sent more frequently than every 30 seconds if so. That doesn’t mean that the Autoklose system will send emails every 30 seconds, 1 minute, or 5 minutes. The system will choose a random moment within the timeframe to send the next email from the queue. Everything else can make you appear like a bot because if you were sending these emails manually you wouldn’t be able to send them with such precision and exactly at the same moment.

If you want to send multiple campaigns from one account

If you set up several campaigns to go out from one account at the same time, the emails from campaigns will be sent in an interweaving way (1st email from one campaign, 2nd from another). All the emails planned to be sent at the time will be put into a single queue, with the follow-ups having priority over initial emails (this is a default setup and there’s no way of changing this). This means that, by default, the recipients further in the sequence that already received the majority of the emails will have priority over the rest of the recipients when it comes to sending the follow-ups.

If you have a very time-sensitive campaign that you need to send soon, make sure that you understand the sending logic.

Adding too many recipients in a campaign with multiple touch-points and having a low sending speed will not work in this case. It will burden the campaign and some of the recipients might not even receive the initial email on time.

If you schedule a campaign to go out Monday- Wednesday, with follow-ups set to go 3 days after the initial email, and your sending rate is set to 50 emails per day in a campaign with 200 recipients, the system will follow the logic below:

Monday - The system will randomly choose 50 recipients who will receive the initial email

Tuesday- Another batch of recipients will be randomly chosen to receive the initial email

Wednesday- 3rd batch of recipients will receive the initial email

Thursday- The follow-ups to the initial emails sent on Monday should go out today, but today isn’t the day allowed for sending.

Friday- The follow-ups to the initial emails sent on Tuesday should go out today, but today isn’t the day allowed for sending.

That’s why the follow-ups that should’ve been sent on the “unallowed” days of the week will be sent with the highest priority on the first “allowed day”, in this particular case on Monday (by default weekends are not allowed for sending unless you change that manually). By the time, the last batch of recipients should receive the initial email but since the follow-ups have priority, the system will send those initial emails after the follow-ups have been sent.

Prioritizing a campaign

If you want to prioritize one of your campaigns, pause all the remaining ones.

Also, in the campaign editor, you will be able to set the "Daily email limit". With this function, you can choose how many emails from a particular campaign you can send on a daily level according to your schedule.

Considering all the above, you need to make sure to properly set up a delivery time when scheduling your campaign. If you still want to send initial emails first before any of the follow-ups are initiated to be sent, or if you don’t want too many follow-ups to be sent over the initial emails, make sure that the delay settings between two emails correspond well with the number of recipients in the sequence, your current sending speed, and the days of the week set for sending.

Your campaigns might get delayed if you have improperly set up sending conditions or in case you have reached the sending quota set by your email provider.
