Contact personalization fields or tokens are a common instrument in email automation tools. They are used to make emails more personal and increase engagement. The process of using tokens is explained here, but this text will cover the types of tokens, token management, and how they work.
When you send out an email, Autoklose replaces these tokens with the actual data for each recipient. For example, if you use #{{First Name}} in your email template, the tool will replace it with "John" for a contact named John Doe, making the email more personalized, increasing engagement, and reducing required manual work.
To access the option to add more or manage existing fields click here or follow these steps:
- Log into Autoklose with your account
- Click on Your Initials at the top right-hand corner and click on Settings
- Click on the Contact Fields tab
Let's go over token types:
Default Contact Fields - created by the Autoklose team cover basic contact information. Can only be turned on or off and edited. Deletion of these fields is not allowed.
Custom Contact Fields - tokens created by users. Used for more detailed personalization or easier contact management inside Autoklose. Can be edited and deleted by the team manager. Timezone is a unique custom field that can not be deleted.
Default and custom fields can be used in Template or Campaign email editor under {;} Token ( Insert Merge Tag for premium editor users).
Special Contact Fields - Signature and Sender fields are pulled from the connection's Email Settings. Find out how to manage these settings here. The Unsubscribe Link can be added directly to the email body. Time Of The Day and Day Of The Week are conditional tokens that depend on the Recipient's Timezone and can be accessed inside Editor under the {;} Special Tokens dropdown.
- Signature: Inserts the user's custom signature.
- Sender: Displays the sender's full name.
- Unsubscribe: Adds an unsubscribe option in emails.

Time Of The Day: Before sending an email, Autoklose checks the recipient's time zone and replaces the token with the appropriate time of day: morning (5 AM - 12 PM), afternoon (12 PM - 6 PM), or evening (6 PM - 5 AM).
For example:
"Good #{{Time Of The Day}}” → when sending → “Good morning” if it’s before 12 PM -
Day Of The Week: Autoklose checks the recipient's time zone and replaces the token with the corresponding day of the week.
Use case:
"Have a great #{{Day Of The Week}} !" → when sending → "Have a great Monday !"
To create a new custom field click on the Add Field button. Type in the name of the field, and choose the "Field type" whether it is a text or a number field. For number type, only numbers can be added, and a default/fallback value can only be a number. A Default value or placeholder (fallback) is optional. That is the value that will be shown if the contact doesn't have any information for that field.
There is one additional field type, Timezone, which is reserved only for the Timezone custom field. If you would like to know more about this field and what is the best way of using it, please check this article.
All fields, except for Email can be edited. Mouse over the desired field and click on the "Edit" button on the right side. For default fields, only placeholders can be changed and they can be moved to the inactive state. In addition to this, custom-made fields can be deleted too.
The order of all fields can be changed using the drag-and-drop option. Hover over 6 dots on the left side of the field name (mouse pointer should change shape), left-click and hold, and move the mouse up or down. Once you're happy with the field position release left-click.
The order of the fields from this page will somewhat be reflected in column positions in the Contact section.
Contact Fields can be created during the CSV import process as well.
To do so, while on the CSV mapping screen, click on the arrow in the Mapping column and choose Create New option. This will open up exactly the same popup for custom field creation. Once done, click Add field button, and this field will be created and set for CSV import.
