Email campaigns are a highly effective way to reach out to potential customers and promote your brand or products. However, to ensure the success of your campaign, it's crucial to send your emails at the right time. This is where scheduling comes in. By scheduling your email campaign, you can ensure that your messages are sent at optimal times when your target audience will most likely engage with them. This article explores the importance of scheduling your email campaign.

Let's start with how to create sending schedule:

  • Login to your Autoklose account.

  • Click on your initials at the top right.

  • Click on Settings.

  • Navigate to the Sending Schedules tab.

  • Click the Add Schedule button.

The schedule popup page contains regular sending options, where it is possible to select or deselect days for sending and also adjust the time for sending. Additionally, there is an option to select multiple parts of the day when sending is possible. Simply click on the plus (+) sign on the right side. In our example, we set a schedule that includes a small break from 1 PM to 3 PM for sending on Mondays. Please make sure there are no overlapping parts of the day, or the system will show an error message at the bottom left corner.

Of course, if there is a need to remove part of the day, use the minus (-) sign.

There is an additional option to set a different schedule for follow-ups. In case this option is not enabled, the previously set schedule will apply to both the initial and all follow-up emails of the sequence. With this option enabled, creating a Separate schedule for follow-ups is possible.

Two new options below allow you to:

  • Recipient Time zones - Ignore the campaign or schedule time zone settings, and send per the time zone specific to the recipient. This time zone can be set in a bulk way via CSV import, or individually using the Edit Contact feature. Find out more about the Recipient Time Zone contact field and how to easily set it up in this article.

  • Excluded Sending Days - When checked, Official US Holidays for the current year will be selected and excluded from sending. Additionally, there is an option to manually add/remove days to this list, and for example, add days when you are on vacation, or leave, or you simply do not wish to use the US Holiday calendar. Click on the Edit Excluded Days button and create your own exclusion list. The info field on the top of it will show how many days are excluded from sending.

Finally, when ready, click the Save Schedule button to create a sending schedule template and make it available to select in campaign/s.
If necessary, create as many Sending Schedules as needed, and later in campaigns, choose which one to use for that specific campaign and set of recipients.

Additional options can be found on the right side. Edit is visible when hovering over the schedule, and delete is next to it in the additional menu.
Edit - change the existing schedule. Once saved, all changes will be applied to all team campaigns that use that sending schedule. Please note If you make changes to the schedule that is currently being used in campaigns, it will have an impact on the sending of those campaigns.

Delete - an option to remove the schedule. In case there are any active campaigns using the schedule, the system will provide an option to Review campaign/s and edit the Sending schedule.

Sending Schedules can be created by all team members, and every member can select and use a schedule from a different member. But, only the team manager and sending schedule owner (creator) have permission to edit and delete the schedule.

It is important to note that Autoklose will not necessarily send during the entire selected time. The schedule just provides guidance on when to send emails, and when not to. For example, do not send before 9 AM, and do not send after 5 PM. However, sending emails during the period between these hours is acceptable, provided that only one part of the day is specified. If there are only a few recipients and the account or campaign sending limits are set for a smaller number of emails, the campaign may finish sending before the scheduled end time. For example, in case the campaign has only ten recipients and sending time is set from 9 AM - 5 PM, the system will send out all emails even before 10 AM. In case you would like to know more about the way how Autoklose sends emails, please check this article.

And finally, let's see how we can use created schedules in campaigns. Sending options can be found in step 1 when creating or editing a campaign. To use the already saved sending schedule, enable the option "Use custom sending schedule".

Choose the desired schedule from the dropdown and review sending days. If necessary, use the Edit button next to it to change and adjust sending time and days. Editing the schedule inside the campaign will not change the main schedule, as it can impact all campaigns using it. It will create a new campaign-specific schedule called Campaign Defined, and it will be applied to the current campaign only.

It is possible to see the preview of the schedule and even specific sending intervals when you hover over selected sending days.

In case there are multiple active campaigns, it is possible to set each to a separate sending schedule without issues.

The Sending Schedule feature is available to Advanced and Accelerated Kloser plans. For more information about features in specific pricing plans, please check the Pricing page.

In conclusion, scheduling your email campaign is essential to ensure that your messages are delivered at the right time to the right audience, ultimately leading to higher engagement and better results. Following the tips and best practices outlined in this article, you can effectively schedule your email campaigns and take your email marketing efforts to the next level.
